Templates are important as they can reduce the time needed to execute various tasks. Message templates in particular allow you to avoid manually typing similar messages repeatedly to your customers. Tokeet allows you to create multiple message templates for those messages that you routinely send to your guests.
After logging into your Tokeet account, the Template button will be located on the top right-hand corner of your page under the SETTINGS menu. Clicking on TEMPLATES opens the “Message Template” page, which will allow you to manage or create templates. Common tool symbols that resemble that of a standard word document can be seen at the top of the page. Hovering your cursor over each symbol will allow you to see what each symbol represents. For example, the first symbol is a “B”, which stands for BOLD and allows you to format parts of your message into bold letters.
Once you have successfully typed your message in the message box, click on the green “SAVE NEW” button. At this point, a “New Template” dialogue box will pop up and prompt you to name your message template. Be sure to give your message template a name that will make its purpose clear to all other Tokeet users within the account. Once you have named your message template, click the “SAVE” button. After saving your message template you may now rename, delete, or update that template. This is done by clicking on the dropdown marked SELECT TEMPLATE located at the top of the page and selecting your desired template. Click on any one of the three buttons marked SAVE NEW, DELETE, or UPDATE based on your desired action.
If the DELETE button is clicked, a dialogue box will pop up asking you to confirm your action. This allows you a final chance to cancel your action if it was indeed a mistake. If you are editing your message content, clicking the UPDATE button will save your changes and allows you to rename the message template or retain the existing name.
It should be noted that a message template can also be created from the Inquiry Details page, located under the INQUIRIES menu. Once you are on the Inquiry Details page, select the green button marked NEW MESSAGE, which is located at the top right of the Message table. Alternatively, you can also select “View Full Conversation” which is also located under the Message table. Both options will take you to the “Add Message” page which will allow you to create a message. After composing your message, save it as a message template by clicking on the “T+” symbol at the bottom of the page, just right of the attachment symbol. A dialogue box will pop up and prompt you to name your template, after which you will click the “SAVE” button. This template will automatically be saved in your settings menu, under Templates.
Alternatively, if you are opening a message from your Inquiry Details page and you already have a template created, you can select that template by clicking on the drop down menu labeled SELECT TEMPLATE at the bottom of the page. You are then able to send your message directly to the recipient by clicking on the green button marked SEND.
